How We Respond to Public Sector Requirements
Public buyers issue different notices at different stages of a procurement. We respond according to the notice type and its instructions.
Request for Information
Used by buyers for market research and planning. We can provide capability information when requested. An RFI is not a solicitation, and a response is not an offer or a bid.
Sources Sought Notice
Used to identify capable businesses before a solicitation is issued. We can submit a capability statement describing relevant services.
Request for Quotation
Requests pricing for a defined requirement. We prepare a quotation aligned with the stated specifications, quantities, and delivery terms. Any order or award follows the buyer’s evaluation.
Request for Proposal
Requests technical and price proposals that are evaluated against stated criteria. We prepare a proposal aligned with the scope, personnel requirements, schedule, and reporting expectations.

Scope & terms
Equipment is purchased through eligible suppliers under each manufacturer’s terms. Installation and configuration are performed by licensed or manufacturer-authorized providers, and X-ray screening equipment may require state registration and operator training, which we confirm for each order.

Inventory & Fulfillment Coordination
Equipment and goods received, protected, and ready to ship
What you can engage us to do
Once your equipment and goods are purchased, we manage what happens next: receiving and inspection, inventory records, protective packing and crating, order preparation, and returns. The physical work is performed by a qualified fulfillment provider you approve, or at a site you designate, following handling instructions we prepare. We maintain the records and follow every exception through to resolution.

- Exceptions reported promptly, with a recommended resolution

Scope & terms
Arefi does not store goods itself. The fulfillment provider, location, handling requirements, and responsibility and insurance for goods are agreed in writing before work begins. Freight brokerage and customs clearance are not included.

Yes, where the requirement aligns with our services. 1. Who we are
The website arefigroup.com (the “website”) is operated by Arefi Holdings Group Inc., a company based in San Francisco, California, that operates under the name Arefi Group (“Arefi Group,” “we,” “us,” or “our”). This policy explains what personal information we collect through the website and when you contact us, how we use and share it, and the choices available to you.
2. Scope
This policy applies to the website, to inquiries submitted through its contact form, and to email and phone inquiries that begin through it. It does not apply to information we process for clients under a contract, which is governed by the applicable agreement, or to third-party websites we link to, including social media platforms.
3. Information we collect
Contact form. When you submit the contact form, we receive your full name, company or organization, work email address, country or project location, service of interest, and a description of your requirements and scope. Your phone number is optional and is collected only if you provide it. The form is delivered to our email inbox through FormSubmit, a third-party form delivery service.
Email, phone, and website chat. When you email or call us, or type a message in the website chat, we receive the information you choose to share, such as your name, email address, organization, job title, phone number, and the content of your message and any attachments. Website chat messages are used only to answer your question. When automated replies are enabled, a message is sent through our hosting service to Anthropic, PBC, which generates the reply; otherwise the answer is produced in your browser. Chat messages reach our team only if you choose to contact us. Most of this is business contact information about you in your professional capacity.
Technical information. Our hosting and security provider, Cloudflare, Inc., automatically processes technical information needed to deliver and protect the website, such as your IP address, browser and device type, the page requested, the referring page, and the date and time of the request. This information may be kept in server and security logs. The website’s pages, images, and scripts are served from our own website. Its fonts load from Google Fonts, so your browser sends Google your IP address and browser information when the fonts load.
Sensitive information. We do not request sensitive personal information. Please do not send government identification numbers, financial account details, passwords, health information, or similar data through the contact form, the website chat, or by email.
4. How we use information

- To prepare proposals and quotes, and to provide and administer our services
- To evaluate and manage client, supplier, teaming, and partnership relationships
- To operate, secure, and maintain the website, and to prevent misuse and fraud

We do not use personal information for automated decision-making that produces legal or similarly significant effects. We do not send marketing email unless you have asked us to or have an existing business relationship with us, and you can opt out at any time.
5. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share personal information only:
- Within Arefi Group, so the appropriate person can respond
- With service providers that support our operations, such as hosting, form delivery, email, and document storage providers, and, when automated chat replies are enabled, Anthropic, PBC; these providers may use it only to provide services to us, under their own terms
- With subcontractors, suppliers, or teaming partners, where needed to respond to your request or carry out an engagement you have asked us to discuss, subject to confidentiality obligations
- With professional advisers, such as attorneys, accountants, and insurers
- When required by law, regulation, legal process, or a government request, or to protect the rights, property, or safety of Arefi Group, our clients, or others
- In connection with a merger, financing, acquisition, reorganization, or sale of all or part of our business, subject to customary confidentiality protections
6. Cookies, analytics, and similar technologies
The website does not set its own cookies, does not use analytics, advertising, or session-recording tools, and does not use browser storage to identify or track visitors. Our hosting provider may use strictly necessary cookies or similar technologies to protect the website against abuse and keep it available. Because we do not use cookies for analytics or advertising, the website does not display a cookie banner.
Because we do not track visitors across websites, the website does not respond differently to Do Not Track signals. Where required by applicable law, we treat a Global Privacy Control signal as a request to opt out of the sale or sharing of personal information.
7. Retention
We keep personal information only as long as reasonably necessary for the purposes described in this policy, including responding to your inquiry, maintaining business relationships and records, and meeting legal, tax, accounting, and contractual requirements. When information is no longer needed, we delete or de-identify it. We do not store website chat conversations.
8. Security
We use reasonable safeguards designed to protect personal information, including encrypted connections to the website and restricted access to our business accounts. No method of transmission or storage is completely secure, and email is not a secure channel for sensitive information.
9. Your choices and rights
Depending on where you live, you may have the right to request access to, a copy of, correction of, or deletion of personal information we hold about you, and to object to or restrict certain processing. To make a request, email [email protected] with the subject “Privacy request.” We will verify your request using information you provide, respond within the time required by applicable law, and not discriminate against you for exercising your rights. If we deny a request, we will explain why and, where applicable, how to appeal.
10. California residents
If the California Consumer Privacy Act, as amended by the California Privacy Rights Act, applies to our processing of your information, you may have the right to know the categories and specific pieces of personal information we collect, its sources, the purposes for collecting it, and the categories of recipients; to request deletion or correction; and to opt out of the sale or sharing of personal information.
We collect identifiers and professional information (such as name, email address, phone number, organization, and location) directly from you, and internet activity information (such as IP address and pages requested) through our hosting provider, for the purposes described in section 4. We do not sell or share personal information, and we do not use or disclose sensitive personal information for purposes that give rise to a right to limit its use. You may submit a request yourself or through an authorized agent; we may ask for proof of the agent’s authority and verify your identity directly. We do not disclose personal information to third parties for their direct marketing purposes under California Civil Code section 1798.83.
11. Visitors outside the United States

1. Agreement to these terms
These terms of use govern your access to and use of arefigroup.com (the “website”), operated by Arefi Holdings Group Inc., a company based in San Francisco, California, that operates under the name Arefi Group (“Arefi Group,” “we,” “us,” or “our”).
